# Exporting & Emailing Reports

Download your results as a spreadsheet (CSV) or a PDF, and have a report emailed to anyone on a daily or weekly schedule.

Get your results out of Otter in two clicks — download them as a spreadsheet or a PDF — or have a report emailed to anyone, every day or every week, all on its own.

Sometimes you want your numbers somewhere other than the dashboard — in a spreadsheet to chart yourself, in a PDF to send to your boss, or landing in a teammate's inbox every Monday morning. Otter does all three. Exporting only reads your data, so it never changes anything about your test.

## Download your results

1. **Open the test and find the Share button.** Go to the test's results page. Near the top you'll see a **Share** button — click it to open the "Share & export" menu.
2. **Choose Export PDF or Export CSV.** **Export PDF** saves a tidy, printable picture of the results page. **Export CSV** saves a spreadsheet you can open in any spreadsheet app. The file downloads straight away — nothing to set up first.
3. **Want the full picture? Clear filters first.** Exports match exactly what's on your screen. If you've picked a single goal or a segment (like mobile-only), the file contains just that view. Clear your filters and switch back to the primary goal before exporting if you want everything.

### CSV (spreadsheet)

A summary row for the goal, one row per version (visitors, conversions, conversion rate, lift), and a day-by-day breakdown over time. Best when you want to crunch the numbers yourself.

### PDF (printable)

A clean snapshot of the results page. Best when you want something nice to send, print, or file away.

## Email a report on a schedule

Instead of remembering to send an update, let Otter do it. A scheduled report email arrives in the inboxes you choose, daily or weekly, at the time you pick.

1. **Open the share window.** On the results page, click **Share**, then **Share via link**. The share window opens, where you'll find the email-reports section.
2. **Add who should receive it.** Type one or more email addresses. To send to several people, separate them with commas. They don't need an Otter account to read what arrives.
3. **Pick how often and when.** Choose **Daily** or **Weekly**, the hour of day, and the timezone. If you skip the timezone it uses your project's reporting timezone (then your account's, then UTC).
4. **Save — and stop anytime.** Save and the report starts going out on its own. Every schedule you create is listed in the same window with a remove option, so you can turn one off whenever you like.

> **Good to know**
>
> **Anyone can export; only the team can schedule.** Viewers can download a CSV or PDF themselves, but creating or changing a scheduled email is for owners, admins, and members — because those emails go out to other people.
>
> **Saved views are a personal shortcut.** You can save a favourite filter-and-goal combination as a named view for one-click access, but saved views live in the browser you're using — they're not shared with teammates or carried to another device.
>
> **Sending to people outside your company?** A scheduled email shows the results to whoever receives it. For a link you can password-protect or switch off later, use a [shared report](https://www.otterab.com/docs/analyzing-results/shared-reports) instead.

## Frequently asked questions

### How do I download my results?

Open the test you want, look at the top of its results page, and click the Share button. A little menu opens with two download options: Export PDF and Export CSV. Pick one and the file saves to your computer straight away — there's nothing to set up first.

### What's the difference between the CSV and the PDF?

The CSV is a spreadsheet — rows and columns of numbers you can open in any spreadsheet app and slice however you like. The PDF is a tidy, printable picture of the results page, good for sharing or filing. Choose CSV when you want to crunch the numbers yourself, and PDF when you want something nice to send or print.

### What's inside the CSV?

A summary row for the goal you're looking at, then one row per version with its visitors, conversions, conversion rate and lift, and finally a day-by-day breakdown so you can see how each version changed over time. Open it in any spreadsheet app to sort, filter, or chart it.

### Does the download match what I'm looking at on screen?

Yes. If you've switched to a particular goal or applied a segment filter (like mobile visitors only), the CSV and PDF export exactly that view. Want the full picture instead? Clear your filters and switch back to the primary goal before you export.

### Who is allowed to export?

Anyone who can open the test, including viewers. Exporting only reads your data — it doesn't change anything — so it isn't limited to owners or admins.

### How do I get a report emailed to me automatically?

On the results page, click Share, then Share via link to open the share window. Inside it there's an email-reports section: type in who should receive it, choose Daily or Weekly, pick the hour of day, set the timezone, and save. From then on the report lands in those inboxes on its own — you don't have to remember to send it.

### Can I email the report to people who don't have an account?

Yes. Scheduled report emails go to any email addresses you type in — a manager, a client, a teammate — and they don't need an Otter login to read what arrives. To send to several people at once, separate the addresses with commas.

### Daily or weekly — when exactly does it arrive?

At the hour and in the timezone you chose when you set it up. Daily means every day at that time; weekly means once every seven days at that time. If you don't pick a timezone, it uses your project's reporting timezone (or your account's, falling back to UTC).

### Who can set up or change a scheduled report email?

Owners, admins, and members. Viewers can download exports themselves but can't create or change a scheduled email. This keeps automatic emails — which go out to other people — in the hands of the team running the tests.

### How do I stop a scheduled report email?

Open the same share window where you set it up. Each active schedule is listed there with a remove option — remove it and no more emails go out. You can always add a new schedule later if you change your mind.

### What are 'saved views' on the results page?

A handy shortcut: once you've set up the filters and goal you like to look at, you can save that combination as a named view and jump back to it with one click. Saved views live in the browser you're using, so they're a personal convenience rather than something shared with your team or carried to another device. If you switch computers, you'll set your views up again there.
